Export Buyer's Checklist: What to Send a Lubricant Supplier in India

If you import or distribute lubricants in Asia, Africa or the Middle East, the fastest way to get a useful quotation from an Indian manufacturer is to send complete details in your first message. Missing details mean extra rounds of emails. This checklist lists what a supplier typically needs, and what to ask in return.

1. Your country and market

Start with the destination country and the kind of customers you sell to: workshops, fleets, farms, factories or retail shops. The same grade can be wrong in two countries, because climate, fuel quality and the vehicles on the road differ. Tell the supplier where the oil will be used, not just where it will be shipped.

2. Products and grades

List each product with the exact grade or specification you want, for example engine oil grade and API category, gear oil grade, or grease type and NLGI number. If you are not sure which grade suits your market, say so and describe the vehicles or machines instead. A good supplier will suggest grades, and you can then check them against the vehicle or machine maker's recommendation.

  • Product type: engine oil, gear oil, grease, hydraulic oil, coolant, brake fluid, cutting oil and so on
  • Viscosity grade and specification, where you know them
  • The vehicles or machines it is for, if you do not know the grade

3. Pack sizes and quantity

Say which packs you need, from small retail bottles to drums, and how much of each you expect to order. Quantities help the supplier work out whether a first order or a regular programme makes sense. 4. Your own brand or the supplier's brand

Decide whether you want to sell under the manufacturer's brand or under your own label. If you want your own brand, say so in the first message, and be ready to share your brand name and label artwork. Private label and export can be combined.

5. Samples

Ask for samples before you commit to an order. Test them in the equipment they are meant for, and compare them with what you sell today. Lukeron provides free samples so you can check quality first; tell us the product, the application and the destination.

6. Documents and labelling

Different countries ask for different documents and label details. Ask your supplier what documents come with a shipment, and check with your own importer or customs agent what your country requires before you finalise the order. Lukeron holds an Import Export Code (IEC), which is needed to export from India.

7. Payment and shipping terms

Agree the payment method and the shipping terms before the order, so that both sides know who arranges freight and who pays for what. Ask for these in writing in the quotation.
